Overview

Party Buddy is a Melbourne event hire and retail business offering powder and confetti cannons, photo booths, backdrops, lighting and themed party packages. Customers browse, check availability, book and pay a deposit online, then collect from Pakenham or arrange delivery.

Challenge

Hire and sales have different rules: availability windows, deposits, returns and condition checks on one side; stock and fulfilment on the other. Standard e-commerce platforms force hire into a sales model, which leads to double bookings, manual tracking and back-and-forth with customers.

Solution

  • Separate, purpose-built hire and purchase flows sharing one catalogue
  • Date-based availability checking for hire items
  • Online booking with a 25% deposit taken through Stripe
  • Pickup in Pakenham or delivery across Melbourne
  • Customer accounts, cart and product filtering

Architecture

Technology

  • Next.js
  • React
  • Stripe
  • Nginx
  • Ubuntu server

Key engineering decisions

  1. 01

    Two workflows, one catalogue

Products are shared, but hire and purchase orders follow separate flows with their own rules.

  2. 02

    Deposit to secure the date

A 25% deposit is taken through Stripe at booking, so hire dates are only held for committed customers.

  3. 03

    Availability computed, not stored

Hire availability is derived from bookings, so it can never drift out of sync.

Outcome

Customers can find, check, book and pay for party hire online at any hour, and the business manages hire and sales from one system instead of messages and spreadsheets.
